Xerox Multifunctional (MFD) Guest login procedure

Summary:

Recently issued Employee ID cards are not supported by older card readers installed on employee facing Xerox multifunctional (MFD) devices. To address this issue, while new readers are procured, ITS will enable a “guest” access mode for affected employees needing to copy or scan on Thursday November 17th between noon and 4pm. This new option will be deployed to all devices but is only necessary if you don’t have an older style ID card which will continue to work and remains the preferred method of accessing copy/scan features.

Instructions:

Xerox desktop model devices

Tap the keyboard symbol

  • Make sure “or blank for Guest” option is visible, if it isn’t the device is not setup for guest mode
  • Tap the check mark without entering a “username” to log in as a guest

You will be presented with the following window signed in as “xeroxguest”

All copy, scan to email, and scan to folder functionality will be available with the exception of certain convenience items directly associated with your personal credentials.

  • Tap OK without entering a “username” to log in as a guest

Frequently Asked Questions

Q: I’m not sure which ID card I have, how can I verify?

A: the easiest way to verify your card is to tap it on a Xerox device located in a staff area, if it doesn’t work, you likely have one of the new cards affected by this issue

Q: I need to print / copy / scan on a student facing printer (Xerox in the library, or lab release station) does this issue affect me?

A: No, all student facing print devices have tap card reader installed that work with both the old and new cards, continue to use them following the previous tap process. If you are having issues tapping in these locations, your card may need replacing.

Q: Should I use this new guest access option instead of tapping my card even if I have an older card?

A: No, we recommend you continue to tap if your card works, the guest feature is a temporary measure and will go away as soon as we can deploy the required hardware. Additionally tapping logs you in with your individual profile and includes a few convenience features such as scan to self.
