Reason for Approval Process
Approval is required when delegated access to a user’s email account is needed, and the user is not able to approve the delegated access themselves.
Examples:
- Niagara College no longer employs the staff member.
- The user is not able to approve the request themselves due to illness, hospitalization, etc.
Note: The forwarding of email by ITS is not permitted due to security reasons.

Staff Approval Process
To request delegated access to a staff members email account, the manager of the department must email the request to the Associate Director (Lisa Craig) or Director (Rob Burwash) of Human Resources and the Chief Technology Officer (John Levay) or Senior Vice President (Pam Skinner) of Information Technology Services for approval.
Once this request is approved, create an ITS ticket in Team Dynamix. Please see Appendix A on how to submit this type of ticket request.
Student Approval Process
To request delegated access to a student’s email account, the Associate Dean of the Program must email the request to the Director (Lianne Gagnon) or Vice President (Rick Anderson) of Student Services and the Chief Technology Officer (John Levay) or Senior Vice President (Pam Skinner) of Information Technology Services for approval.
Once this request is approved, create an ITS ticket in Team Dynamix. Please see Appendix A on how to submit this type of ticket request.
NCSAC Approval Process
To request delegated access to a student’s email account, the Associate Dean of the Program must email the request to the Director (Lianne Gagnon) or Vice President (Rick Anderson) of Student Services and the Chief Technology Officer (John Levay) or Senior Vice President (Pam Skinner) of Information Technology Services for approval.
Once this request is approved, create an ITS ticket in Team Dynamix. Please see Appendix A on how to submit this type of ticket request.
Third-Party Contract Employee Approval Process
To request delegated access to a Third-Party Contract Employees email, the requestor must email the management overseeing that contract and the Chief Technology Officer (John Levay) or Senior Vice President (Pam Skinner) of Information Technology Services for approval.
Once this request is approved, create an ITS ticket in Team Dynamix. Please see Appendix A on how to submit this type of ticket request.
Tenant Approval Process
To request delegated access to a Tenant’s email, the requestor must email the Tenant Manager overseeing that contract and the Chief Technology Officer (John Levay) or Senior Vice President (Pam Skinner) of Information Technology Services for approval.
Once this request is approved, create an ITS ticket in Team Dynamix. Please see Appendix A on how to submit this type of ticket request.
Email Out of Office Message Request
For employee absences, an Out of Office message should be used to redirect people for coverage. If the owner of the email account is not able to do this themselves, a manager’s approval is required.
